Compress XLSX Files

Like Word and PowerPoint files, an XLSX is a ZIP package of XML parts, and raw numbers barely take up any space — a spreadsheet with tens of thousands of cells of data can still be small. When an Excel file becomes surprisingly heavy, the cause is usually something other than the data itself: embedded images and logos, charts, or the quiet overhead that builds up as a workbook is edited over months. Understanding that split is the key to shrinking it without losing anything you need.

Several habits inflate an XLSX far beyond what the numbers justify, and most of them are invisible until you check the file size:

• Company logos, product photos, or screenshots embedded in sheets
• Charts and images stored at full resolution
• Formatting applied to entire columns or rows rather than the used range
• Leftover data, hidden sheets, and unused named ranges from old versions
• Pasted objects and controls carried over from other files

Your cells, formulas, charts, pivot tables, and formatting are left intact, so every calculation still works and every sheet looks the same. The output is a standard XLSX that opens in Excel, Google Sheets, and LibreOffice Calc exactly as before, just lighter and quicker to send.

Because the compressor targets the media parts of the package rather than rewriting your workbook, everything that makes the spreadsheet work is preserved. Formulas still calculate, cell references stay valid, pivot tables and named ranges are untouched, and number formatting remains exactly as you set it. You can keep working in the compressed file normally — nothing is converted to values, flattened, or locked in the process.

If your workbook is pure data and formulas, it is probably already compact and there is little to gain.
